Reconcile Taobao purchases with domestic tracking numbers and HuaBang warehouse receipts before forwarding to Portugal. Includes split-parcel checks and a practical record table.
Buying several items on Taobao for forwarding to Portugal creates a practical record-keeping task before international shipping begins: identify which purchased items belong to each physical parcel. A shop order number, a Chinese courier tracking number and a later international tracking number describe different records. Treating them as interchangeable can leave a parcel out of your forwarding request or create a duplicate pre-alert.
Use this checklist when you already have seller dispatch information and want to reconcile the incoming parcels. For the complete journey from registration to delivery, use the HuaBang Express forwarding tutorial. This page concentrates on the order-to-parcel check before export, rather than repeating a general Portugal shipping guide.
Separate the three references
Keep the Taobao purchase reference with the seller name, product variation, quantity and amount paid. Record the domestic courier and its tracking number separately once the seller supplies them. After an international forwarding order is dispatched, record the international reference against that outbound order. A marketplace purchase reference alone is not a substitute for the courier number needed to identify an arriving parcel.
Build your own reconciliation table outside the portal if that is convenient. It is a personal working record, not a claim that HuaBang Express imports Taobao orders automatically.
| Purchase reference | Items expected in this parcel | Domestic courier and tracking | Portal record | Check still needed |
|---|---|---|---|---|
| Your seller/order reference | Actual item names and quantities | The number confirmed by the seller | Pre-alert or received parcel reference | Missing dispatch detail, receipt or item clarification |
Do not put real names, addresses, tracking numbers or payment screenshots in public comments. Supply evidence only through the appropriate private support conversation.
Check split parcels and combined seller dispatches
If the seller splits one purchase into several parcels, ask for the tracking number and item allocation for each parcel. Give each distinct domestic tracking number its own line in your working table. Do not mark the entire purchase as received just because one of its parcels has arrived.
If several purchases share one domestic courier number, ask the seller to confirm which items are inside that package. Keep the purchase references together under that courier number. Do not create duplicate pre-alerts merely to make the portal parcel count match the marketplace order count. If the available product fields cannot describe the actual contents clearly, ask support how to record them accurately before submitting.
If a seller replaces a tracking number, retain both the old reference and the new confirmed reference in your notes. Check whether an existing pre-alert needs correction before making another record. Do not invent a second shipment to work around an unclear status.
Verify the warehouse recipient details
Use the warehouse information and member identifier shown in your own HuaBang Express account. Compare the recipient details used for the seller's dispatch with those instructions. Avoid copying an address or identifier from a tutorial image, a friend's account or an old message.
The current forwarding tutorial explains the member identifier and pre-alert fields. Keep any seller correction or courier clarification with the relevant domestic tracking number. An address mismatch needs investigation; it does not establish where the parcel is now.
Pre-alert once, then verify warehouse receipt
When the seller has supplied a domestic tracking number, use New Parcel Forecast to record the courier and the actual goods details. Check the number character by character before submission. Include the relevant product specification, quantities and sensitive-item information rather than a vague description such as accessories.
After saving, find the record in Warehouse Parcels. A saved pre-alert registers information; it is not evidence of physical warehouse receipt. Compare the portal status with your working table before choosing parcels for forwarding.
If the courier shows delivery but you cannot find the expected warehouse receipt, first check the courier number, your account and the recipient/member information. Collect the seller dispatch record and courier delivery evidence for support. Do not keep submitting the same number or change it to force a new record. A courier scan, warehouse registration and an item inspection are different events; ask which event has actually been confirmed.
Resolve differences before choosing the Portugal shipment
Review every line in your table before requesting consolidation. Are all intended parcels received? Does a split purchase still have an outstanding parcel? Are the recorded goods and quantities consistent with the seller's dispatch details? Is anything being returned rather than forwarded?
If a mismatch remains, state the exact tracking number, expected items and evidence needed to resolve it. Preserve packaging or item records relevant to the enquiry. Follow the domestic return guide if a return has been agreed; arranging warehouse return and obtaining the seller's refund are separate steps.
Once the intended parcels are accounted for, confirm the recipient's Portuguese address and postcode, the goods accepted on the selected channel and the packing instructions. Review the current offer for those actual parcels. This reconciliation does not establish route availability, a fixed delivery date, a lower consolidated price or a tax exemption. Keep the item-level purchase records for the later declaration and any legitimate request for supporting documents.
FAQ
Should the parcel count equal the number of Taobao orders?
Use the actual seller dispatch information. A split purchase can have several courier references, while a combined dispatch can contain items from several purchases. Reconcile the goods against physical parcels rather than assuming a one-to-one relationship.
Can I use the Taobao order number as the domestic tracking number?
Keep the purchase reference for seller enquiries and purchase evidence. Enter the actual courier tracking number in the pre-alert. Ask the seller for it if it has not yet been supplied.
Does a delivered scan mean the parcel is ready for international forwarding?
Check the warehouse record and its received status in your account. If the two records do not match, send the relevant tracking and delivery evidence to support for investigation before including that parcel in an outbound request.
What should I do when a product needs shipping review?
Describe the actual product and disclose the relevant battery, liquid or other sensitive characteristics. Use the shipping review checklist and confirm acceptance for the intended goods and destination. A seller having dispatched domestically does not prove international acceptance.
Start with the missing link in your reconciliation table: a seller reference, a domestic parcel number or a warehouse receipt. Resolving that specific gap gives support a useful enquiry and helps you select the correct received parcels for your Portugal forwarding order.
