Keep size and colour variants with the purchase quantity and unit. A practical worksheet for distinguishing pairs, individual garments and sets before a forwarding enquiry.

A shoe order can say “1 pair”, a clothing line can say “2 pieces”, and a bundle can say “1 set”. Those numbers describe different units. Before asking about forwarding shoes and clothing from China to Austria or another destination, keep each purchased size and colour with its own quantity and unit. A single total headed “items” can hide the question that actually needs answering.

This worksheet helps organise purchase records for an enquiry. It is not a fitting recommendation, a customs declaration, proof of authenticity or confirmation of what a sealed parcel contains. It does not authorise opening, removing packaging or shipping anything.

1. Start with the exact purchased variant

Use the variant selected on the order, not a general product-page photograph. Give each distinct combination of style, colour and size its own row. If two rows have the same product name but different sizes, keep them separate even when the seller sent them under one domestic tracking number.

Copy a size together with its field label and any stated sizing system. “42”, “M” and “size not shown” should remain different records. Do not turn a size label into an item count or infer that two sellers use the same measurements. If a system or measurement is absent, identify what is missing and ask the seller about the purchased variant. A label alone does not establish fit or dimensions.

2. Keep pairs, pieces and sets in separate fields

Copy both the quantity and the unit shown on the purchase record. If the seller wrote “pair”, preserve that word; if the record only shows a number, leave the unit unresolved. Do not silently convert a pair to two declaration units, or a set to one garment. The unit needed for a later form must be confirmed for that actual form and shipment.

For a set, keep the ordered number of sets separate from the seller's stated contents of each set. If the listing says “three-piece set”, retain which three pieces are included and whether they share one size choice. That description does not prove that all pieces arrived. A number printed on a shoebox also does not establish the number of pairs inside an outer parcel.

Fictional purchase lineVariant recordQuantity and unit as shownQuestion to resolve
Shoes ABlack; size label “42”; sizing system not stated1 pairWhich sizing system applies to the purchased variant?
Top BBlue; size label “M”2 piecesDo both purchased pieces have this same variant?
Outfit CSeller describes a top and trousers1 setWhat size selection applies to each included piece?

These are invented examples of purchase records, not real orders, warehouse observations or a recommended declaration. The table gives no material, brand, value, weight or transport approval.

3. Distinguish an order line from a parcel observation

Maintain separate notes for “ordered”, “seller says dispatched” and “actually observed”. Attach the source of each statement. A purchase quantity, a seller's packing list and a photograph may answer different questions. A received outer package or domestic tracking scan does not, by itself, verify the size, colour, pairing or number of enclosed garments.

When an available photo shows only one face of a box, describe only that visible information. If no count or variant check was performed, write “not checked”. Do not ask staff to open a parcel merely to make an unknown field look complete. First confirm whether an observation is available, its scope and any agreed handling.

4. Describe a mismatch without changing the record

Keep the original purchase line when another record differs. Identify the exact field in question: quantity, counting unit, selected size, colour or included piece. Avoid replacing the order with a guessed total before the discrepancy is resolved.

For example, a hypothetical enquiry could say: “The order lists one set containing a top and trousers. The available photo shows the top label only. The trousers' size has not been observed. Please clarify the seller's size selection for both pieces and confirm what, if anything, has been checked.” This is hypothetical wording; it describes no real transaction and establishes no shortage.

5. Use the worksheet for a specific forwarding question

Send the relevant variant rows, their source records and the unresolved question through the normal private support channel. Keep order numbers, addresses and identifying labels out of public article comments. Do not publish a customer's purchase record as an example.

HuaBang Express's published terms require accurate product descriptions and quantities. Use the services page for an actual enquiry and the help centre for other forwarding steps. The appropriate form, counting unit, documents, handling and current transport acceptance still need confirmation for the real shipment. Completing this worksheet does not establish a route, price, customs outcome or warehouse service already performed.

FAQ

Should one pair of shoes automatically become two in a quantity field?

No automatic conversion is prescribed here. Preserve “1 pair” in the purchase record, then confirm the required counting unit for the actual form. Do not confuse the number of individual shoes with a number of pairs or outer parcels.

Can I merge different clothing sizes into one row?

Keep distinct purchased size and colour variants separate in the enquiry worksheet. Otherwise, a combined number can conceal which line needs clarification. This worksheet does not determine how a customs form must group goods.

Does a seller's set description confirm every piece was received?

No. Record the seller's stated contents separately from the observation actually performed. Mark an unobserved piece or unreadable label as unresolved, and ask a precise question rather than reporting a completed check.
